A private medical clinic needed more than a website update. They needed to understand where their patients came from, how their ads performed, and how to book appointments without phone calls. We built the whole system.

Clinica Da Vinci is a private medical clinic operating in Romania. Like many small clinics, they had a website, ran ads, and booked appointments by phone. They had no clear picture of which ad campaigns brought in patients, how long the booking process took, or where potential patients dropped off.

They needed a system: not a collection of disconnected tools, but a single integrated platform that connected marketing to appointments to patient records.

Four systems. One platform.

Online booking. Integrated directly into the existing clinic website. Patients can see doctor availability in real time and book appointments without calling. The booking system connects to the clinic's schedule and sends confirmation emails automatically.

Custom CRM. A patient relationship management system built around the clinic's actual workflow, not a generic CRM adapted to fit. Tracks patient history, appointment status, communication log, and follow-up tasks.

Ad-to-patient analytics. The clinic runs ads on multiple platforms. We built a pipeline that traces every patient from their first ad impression through to their first appointment. The dashboard shows acquisition cost by campaign, by platform, and by doctor. Real numbers, not estimates.

Automated ad generation. A batch tool that generates ad creatives and copy variations at scale, using patient demographic data and campaign performance feedback to inform the output. Built, delivered, and operational: reducing the time their marketing team spends on repetitive production work.

One integrated view

The clinic now has a clear view of the full patient acquisition funnel: from ad spend to appointment, for every campaign they run. The booking system has reduced front-desk call volume. The automated ad tool handles batch production work that previously required manual effort.
